Privacy Policy

Aura Media ("Aura", "we") collects only what we need to book, deliver and bill your shoots, and we never sell your personal information. This policy covers shotbyaura.com, online booking and the client portal.

What we collect

• Contact details (name, email, phone, company): to confirm bookings, reach you about a shoot and send your media.
• Property details (address, access notes such as a lockbox or gate code): to get to and into the property for the shoot.
• Booking and project records (dates, services, notes, delivered files, signed agreements): to run your shoots and keep business records.
• Payment records (amounts, dates, invoice numbers): for bookkeeping. Card and bank details are entered on QuickBooks' page; we never see or store them.
• Account details (your sign-in email and an encrypted password): so you can use the client portal.
• Technical data (IP address and browser, recorded when you sign an agreement or sign in): for security and as a record of your signature.

Who processes it for us

We use trusted service providers who handle data only on our behalf:

• Supabase: secure database and sign-in
• Resend: sending booking and account emails
• Intuit QuickBooks: invoices and payments
• Google Calendar: our own scheduling (we read our calendar's busy times; your details appear only on our private calendar entry)
• Our website host: serving shotbyaura.com

We may also share information if the law requires it, or to protect our rights in a dispute.

Cookies

The site uses only the cookies needed to keep you signed in and to keep sign-in secure. We do not use advertising or cross-site tracking cookies.

How long we keep it

We keep client and booking records while we work together and afterwards as needed for tax and legal reasons, generally up to 7 years. Delivered media may be kept for our portfolio as described in the services agreement. Expired sign-in links are deleted.

Security

Access to client data is limited to the Aura team, protected by two-step sign-in. Passwords and sign-in tokens are stored encrypted or as one-way fingerprints, and all traffic uses HTTPS.

Your choices

You can view and update your name and phone in the client portal. To get a copy of your information, correct it, or ask us to delete it (except records we must keep by law), email bookings@shotbyaura.com. You can opt out of non-essential emails at any time; booking and payment emails are part of the service.

Children

Our services are for adults. We do not knowingly collect information from anyone under 18.
